The Suva Marathon Club (SMC) is looking for a casual Sports Administration & Events Officer to lead on Club administration and partner engagement and support communications and event management.

  • Location: Suva – from home and at event locations (Suva, Pacific Harbour, Namosi)
  • Salary: $8.00 per hour
  • Hours: minimum of 20 hours per week at flexible hours rising to up to 40 hours per week for SMC’s three major running events
  • Reporting to: SMC Club Secretary and President

About SMC

Suva Marathon Club (SMC), established in 2014, aims to foster a distance running culture in Fiji for beginner runners to athletes alike in support of performance, participation, health, and enjoyment. SMC’s four goals are:

  1. Participation – increase interest and uptake of distance running in Fiji and participation in SMC events and the Club community;
  2. Performance – monitor and support improved performance of distance runners in Fiji;
  3. Promotion – increase the promotion of, and support for, distance running in Fiji, for health, wellbeing, and enjoyment;
  4. Proficiencyensure the growth and sustainability of the Club through effective governance, financial management and event operations.

SMC is managed by Trustees and a Committee of Management and supported by a team of volunteers to run three major events annually: Suva Marathon, Run Pacific Harbour, and Run Namosi, in addition to fun runs on the first Saturday of each month. The Club operates through a mix of sponsorship and event participation fees and has a member mailing list of 1700 people.

Purpose of position

The SMC Sports Administration & Events Officer supports the SMC Committee of Management by leading on Club administration and partner and volunteer engagement and supporting communications and event management.

Duties of role

Management and Administrative support
Serve as focal point for the Club and management of correspondence for the Club to runners, partners, and volunteers
Liaise with Athletics Fiji on accreditation and development of any guidance and procedures for event management
Manage the club’s electronic filing system ensuring all documents are saved to Google drive
Attend Management Committee and Race Committee meetings and support follow-up on decisions
Ensure that club inventory is kept up to date. Any asset disposal is in accordance with the Club’s financial policy. Repairs required are reported to the Management Committee for approval.
Support general administrative support as assigned.
Event management
Support the Race Committee to ensure all events are well planned and tasks have been distributed in advance.
Coordinate race number allocation and pick up.
Ensure all prizes are collected in advance and distributed accordingly.
Partner and volunteer management
Support Management Committee to secure event sponsors and partners.
Maintain volunteer database and manage volunteer involvement in events in consultation with Race Committee.
Liaise with all sponsors and charity partners to keep them informed and engaged in event preparations.
Accounts support
Support the efficient payment for services and collection of sponsorship by supporting the writing, authorization of payments, collection of invoices
Ensure all documentation is saved to Google drive and provided to the Treasurer
Communications support
Support the communications focal point on launch of running events and media engagement.
Support the communications focal point in identifying runners that can be profiled.

Skills and experience required:

  • Experience or interest in sports administration is desirable
  • General administration experience or qualifications
  • Communications skills including writing correspondence and social media
  • Computer skills including database and file management
  • Financial and account management experience
  • Well organized and with a ‘can do’ attitude
